Outcome

Evidence for thousands of claimants processed in German or English & swiftly allocated at both case and claimant levels

The challenge

Manual translation that couldn't keep up

Invoices arrived in German, in every format, and were read, translated and rekeyed individually. Invoices and claims data sat apart, so costs, capital and court progress were hard to see in one place

Translation icon

German invoices individually read and translated into English.

Manual data entry icon

Invoice data rekeyed by hand, with errors in extraction and translation.

Document formats icon

Inconsistent formats: scanned, unstructured and third-party documents.

Invoices held apart from their claims, so costs were hard to match.

Limited visibility icon

No single view of capital, costs, returns or each claim’s court stage.

Delays icon

Bilingual settlement agreements and payment splits prepared by hand.

What we built

Three Blueprints, from invoice to case conclusion

Volume built one record for every claim from three Blueprints, linked by Workflows. Invoices and claims data are extracted and loaded, matched and tracked through the courts, and when relevant, settled with an agreement in German and English

1

Document Extract and Load

German invoices and claims data loaded as structured English data.

Invoices and claims data are uploaded to the Volume portal however they arrive, read automatically and stored in the Volume database.

1

Uploaded to the portal

Invoices and claims data are uploaded to the Volume portal, including scanned and third-party invoices. Claims data is brought in with Import.

2

Read with OCR

Each invoice is read with OCR, and its key values, such as amounts, dates and references, are extracted.

3

Translated into English

The German text is translated into English as it is captured, and the original invoice is kept alongside it.

4

Stored in the database

The structured English data is stored in the Volume database, ready to be matched to its claim.

2

Payment Reconciliation

Every invoice matched to its claim, and every claim tracked to settlement.

Invoices are matched to the claims they belong to, so costs, capital and returns are always current. Anything that doesn't reconcile is checked by a person.

1

Matched to the claim

Each invoice is matched to its claim, so every cost sits on the right record.

2

Exceptions sent to Triage

Anything that doesn't reconcile, such as an invoice with no matching claim or an amount that doesn't agree, goes to Triage for a person to resolve.

3

Capital and returns tracked

Deployed capital, expected costs, reward calculations and cashflows are tracked for every claim and across the portfolio.

4

Court progress tracked

Every claim shows where it is in the court process, so the team can see what is coming up to case closure.

3

Document Generate & Send

Settlement agreements generated in German and English, straight from the claim.

When a claim settles, a formal settlement agreement is generated from one bilingual Word template agreed for the action, with the German and English side by side, and issued by email.

1

Template ready

A Word template holds the agreement in German and English, side by side, with merge fields for any relevant information including settlement figures.

2

Payment split calculated

The settlement is split between the relevant parties by percentage, with the legal costs and settlement fee added to the right share.

3

Agreement generated

The agreement is filled from the claim record in both languages, so the German and the English always carry the same figures.

4

Issued by email

The agreement can then be emailed to the parties and filed on the claim record.

“The introduction of Volume's AI document extraction capability has removed a huge amount of manual effort from our operations. What was previously a time-consuming process of reading, translating, and rekeying German invoices is now fully automated. The accuracy and speed we're seeing has significantly improved our processing times and data quality, allowing the team to focus on higher-value tasks rather than administrative work.”
