Commission Reconciliation

Commission and fees reconciled in seconds, not days

Every policy and every case checked

Downloading provider and lender statements, cross-referencing every policy and mortgage case, calculating commission, procuration fees and broker fees, and sending broker statements takes a network’s finance team the best part of a working day every month. Volume does it in seconds, then gives you a live view of every result to interrogate.

1

Upload

Drop in the latest provider and lender statements, including procuration fee statements, in whatever format each one is issued. Volume recognises the layout and reads every line, including multi-sheet workbooks. Your sales data arrives by API from your back-office or CRM system, or by file import, so every statement has a master record to match against.

2

Match

Every protection policy and mortgage case is cross-referenced against your master sales and classified as matched, short-paid, over-paid or missing, before you've refreshed the page.

3

Calculate

Broker-specific commission formulas and provider rates are applied across the whole book, with variances computed automatically and non-indemnity and renewal income tracked through their full term. Procuration fees, broker fees and admin fees are calculated alongside protection commission, with each broker’s terms applied.

4

Distribute

Broker statements, network statements, dashboards, alerts and payment instructions are produced from the same data, so everyone works from one version of the truth.

A working version of every stage

Linked into one process

We provide the tools. You decide how they fit together, and Workflows link them into one process.

Add step

Add the steps you need

Need another step? Add a broker approval, a clawback recovery process or a monthly board pack. The process is yours to shape, and you can change it later without a development project.

What you can do

We provide the tools. You build the process

Every tool below already works with the others on one platform. Pick the ones your network needs, and Workflows link them into one process, with every policy and mortgage case traceable from the provider or lender statement to the broker’s payment

Statement import icon

Take in every provider’s and lender’s statement

Upload statements as they're issued, including multi-sheet workbooks. Volume recognises each provider's layout, with 80+ protection providers and lenders supported out of the box. Lender procuration fee statements are read the same way.

Policies matched icon

Match every policy and case, not just the flagged ones

Every policy and mortgage case is cross-referenced against your master sales and classified as matched, short-paid, over-paid or missing. Your sales data comes straight from your back-office or CRM by API, or by scheduled file import where an API isn’t available.

Commission calculation icon

Calculate commission across the whole book

Broker-specific formulas and provider rates are applied to every policy, and the variance is calculated automatically. Non-indemnity and renewal commission are tracked separately. Procuration fees, broker fees and admin fees are tracked by case, so mortgage and protection income sit in one ledger.

Variance search icon

Find variances without searching

Every discrepancy is visible straight away. Filter by broker, adviser, provider, status or amount, and search any policy or client across the full book.

Broker statement icon

Broker statements in one click

Branded PDF statements for every broker and the network, covering protection commission, procuration fees and broker fees, generated from the same data, published to each broker's portal with a notification that it's ready.

Live view icon

A live view for every stakeholder

Totals by product, including protection commission, procuration fees and broker fees, plus variances, clawback exposure and persistency, always current, with each stakeholder seeing only what they need.

Alerts icon

Alerts before issues become problems

Set thresholds for persistency, clawback exposure and commission variance. When one is breached, the right team is told, and every alert is logged and timestamped, supporting your evidence of active oversight under Consumer Duty.

Accounting payment icon

Pay through your accounting software

Volume tracks the inbound payment in your accounting software, generates network statements showing fees retained and sends payment instructions to your accounts team.

Volume Assistant icon

Change it without a project

Describe a change, such as a new provider format or a new commission rule, and the assistant drafts it for your team to review and approve. Nothing goes live without sign-off, and every approved change is logged.

See it in action

A monthly commission run for a mortgage and protection network

Here's how a mortgage and protection network and its brokers run their monthly commission reconciliation on Volume, from provider statements arriving to brokers being paid. Every step is automated by Workflows, using the tools and integrations shown

1

Upload

Provider statements uploaded

The month’s statements from each protection provider and lender are dragged in, in whatever format each one issues them.

2

Match

Every policy matched

The network’s latest sales data arrives by API from its back-office system, or by file import. Each policy and completed mortgage case is cross-referenced against it and classified as matched, short-paid, over-paid or missing.

3

Calculate

Commission calculated

Expected commission is calculated for every policy using each broker's formula and the provider's rate, and the variance is worked out automatically. Procuration fees are matched to completed cases, and broker fees to the cases they were charged on.

4

Calculate

Variances surfaced

Short payments and missing entries are visible straight away, filtered by broker, adviser, provider or amount.

5

Distribute

Broker statements published

A branded statement is generated for every broker and published to their broker portal. Each broker is told their statement is ready.

6

Distribute

Alerts routed

Clawback exposure has passed the threshold the network set, so management receives an alert with the broker breakdown. One broker’s persistency has dropped below its threshold, so compliance is asked to investigate. Every alert is logged and timestamped.

7

Distribute

Live dashboard for stakeholders

Management sees totals, variances, clawback exposure and persistency across the network, always current.

8

Distribute

Payment tracked and instructed

The inbound payment is tracked in the accounting software, a network statement shows the fees retained, and payment instructions go to the accounts team to complete the payment run to the brokers.

FAQ

Common questions

What does reconciliation in seconds actually mean?

From the moment you drop the files in, Volume cross-references every policy against the inbound commission statement, applies your commission formulas across the whole book, calculates the variance on each entry and classifies the result. Broker statements are ready to download in the same session.

How does it support Consumer Duty?

Every alert sent, threshold breached and intervention triggered is logged and timestamped, giving you documented evidence of active monitoring of customer outcomes to support your Consumer Duty reporting.

How is our data protected?

Data is hosted in the UK, held in your own encrypted database and protected down to individual fields. Volume holds Cyber Essentials and Cyber Essentials Plus certification and is committed to ISO 9001 & 27001.

How does Volume handle different provider and lender file formats?

Volume recognises each provider's column structure, handling 50+ naming variations for every field. Multi-sheet workbooks are read exactly as issued, with no reformatting. Supported providers include Royal London, Vitality, Legal & General, Zurich and AIG. Lender procuration fee statements are mapped the same way.

Where does our sales data come from?

From your existing systems. Volume can receive your network’s sales data by API from your back-office or CRM system, or by regular file import (CSV or Excel) if an API isn’t available. You can start with file import and move to API later. Either way, the data becomes the master record every statement is matched against.

Does it cover mortgage procuration fees and broker fees?

Yes. Lender procuration fees are matched to completed cases, and broker fees and admin fees are tracked against the case they relate to. Mortgage and protection income are reconciled together, and every broker’s statement shows both.

How are non-indemnity and renewal commissions handled?

Non-indemnity commission is paid monthly for as long as the customer keeps paying. Volume tracks each policy over its non-indemnity period, which is 2, 3 or 4 years depending on the product taken out, and checks every payment against the expected payment frequency, so late or missing payments are flagged straight away. These policies are also flagged as clawback-exempt. Renewal commission is handled on a monthly rolling basis once the indemnity term has ended or the non-indemnity cycle has completed, with renewal income tracked separately.

How do alerts reach the right teams?

Workflows are configured with your department structure and thresholds. When a trigger fires, such as a persistency drop, a clawback spike or a commission variance, the alert goes to the right people. Content, recipients and thresholds are all configurable.

Can brokers see their own position?

Yes. Each broker gets their own portal with their statements and position, including protection commission, procuration fees and broker fees, so they can see issues with time to act.

What does setup involve?

A proof of concept runs in under five minutes with sample data. Live configuration of your file formats, provider rates, broker structure and alert thresholds typically takes days, not a development programme. The reconciliation engine is already built. Configuration is what changes.

Who approves changes to commission rules?

Your team. Commission rules are managed by your own authorised users and are easy to configure, so there’s no waiting on change requests or technical support. Nothing goes live until an authorised user approves it, and every approved change is logged.
