Form Completion

Their forms, completed from your records

Completed from your records

Lenders, insurers, banks and courts send you PDFs that were never designed to be filled in by anyone else. Volume finds every field, fills it from your records, adds signatures where they're needed and files the finished document, so your team checks the result instead of completing it by hand.

1

Queue

A workflow sends the form to the completion queue along with the record it relates to, the related records it needs and any extra details, such as reference numbers or dates.

2

Prefill

Volume analyses the form, finds each field that needs completing and fills it with the right value from your data. Fields it can't fill are shown empty rather than guessed.

3

Review

Your team checks the form on one screen, with the document on one side and colour-matched fields on the other. Adjust positions, formats and values, and add signatures or extra details where needed.

4

Generate

The finished PDF is generated, with a signature certificate if you need one, saved as evidence against the record and sent on wherever it needs to go.

A working version of every stage

Every form is queued, prefilled from your records, reviewed by your team and generated as a finished document. The Blueprint gives you a working version of each stage, linked by Workflows. You decide which forms, fields and signatures it uses.

Linked into one process

We provide the tools. You decide how they fit together, and Workflows link them into one process.

Add step

Add the steps you need

Need another step? Add a second check for high-value forms, an approval before sending, or a reminder if the third party doesn't respond. The process is yours to shape, and you can change it later without a development project.

What you can do

We provide the tools. You build the process

Every tool below already works with the others on one platform. Pick the ones your forms need, and Workflows link them into one process, with every completed form filed against the record it relates to

Send any PDF to be completed

Forms join the completion queue automatically, the moment they arrive by email, post or portal, or when a step in a workflow needs one completing.

Fields found and filled for you

Volume analyses each form, finds every field that needs completing and fills it from the record, its related records and any extra details the workflow passes in. It works on flat PDFs that can't be edited.

Fit every form exactly

Move or resize any field, change which value it uses, and set the font, date format or one-character-per-box layout the form expects. Add extra values, ticks or crosses wherever they're needed.

Signatures on forms not built for them

Place a client's signature and the date they signed straight onto a third party's form, using a signature captured in your portal or drawn on screen.

A signature certificate, your way

Choose whether a form needs a signature certificate, and whether it's added to the document or created as a separate one, with the signing date taken from the record.

Generated and filed automatically

Generate the finished PDF and it's saved as evidence against the record, with the document details already filled in by the workflow.

Returned to the third party

Send the completed form back by email or make it available through a portal, and record that it's been sent.

See what's waiting

Track every form in the queue, from ready for review to completed, and see where work is waiting.

Completing a lender's offer acceptance form

Here's how a claims management firm uses Volume to complete PCP lender offer acceptance forms, from the offer arriving to the signed form going back to the lender. Every step is automated by Workflows, using the tools and integrations shown

1

Queue

Lender offer arrives

The lender sends its offer and a PDF acceptance form, which arrive in Triage and are matched to the claim.

2

Queue

Client accepts the offer

The client reviews the offer in their portal and accepts it with their signature.

3

Queue

Form sent for completion

A workflow sends the lender's acceptance form to the completion queue, with the decision, the client and the lender's details.

4

Prefill

Fields found and filled

The client's name and address, the agreement number, the lender's name, the client's signature and the date they accepted are placed onto the form.

5

Review

Checked by the case handler

The case handler checks each field, adjusts any positions and confirms the date format the lender expects.

6

Generate

Signature certificate added

A signature certificate is created as a separate document, as the lender requires.

7

Generate

Completed form filed

The completed form is generated and saved as evidence against the claim, with its details already filled in by the workflow.

8

Generate

Returned to the lender

The signed form and certificate are sent back to the lender, and the claim moves on to settlement.

FAQ

Common questions

What kinds of forms can it complete?

Any PDF form you receive from a third party, such as offer acceptance forms, letters of authority, bank mandates, insurer claim forms and court or tribunal forms.

Does the PDF need to be editable?

No. It works on flat PDFs that have no fillable fields, which is how most third-party forms arrive.

Where do the values come from?

From the record the form relates to, the records linked to it and any extra details the workflow passes in. You choose which fields are available for each type of form.

Does a person check every form?

Yes. Each form is reviewed on screen before it's generated, so your team confirms every value and every signature placement.

Can it handle forms with a box for each character?

Yes. Fields can be set to one character per box, with your choice of separator, as well as continuous text, dates in any format, and ticks or crosses.

How are signatures added?

Use a signature the client has already given in your portal, or draw one on screen. Backgrounds are removed automatically so the signature sits cleanly on the form.

What is the signature certificate?

A record of the signing that can be added to the completed document or created as a separate one. You choose which for each form, and which date from the record it shows.

Where is the completed form saved?

It's saved as evidence against the record, with its type, name and other details filled in by the workflow, so it's ready to send or download.

How long does it take to set up?

Because you start from a working Blueprint rather than a blank page, most form completion processes go live in weeks, not months. We'll agree a timeline with you after discovery.

How is our data protected?

Data is hosted in the UK, held in your own encrypted database and protected down to individual fields. Volume holds Cyber Essentials and Cyber Essentials Plus certification and is committed to ISO 9001 & 27001.
