Payment Reconciliation

Every payment matched, every party paid

Matched whatever the format

Reconcile payments across lenders, providers, brokers and clients, whatever format their statements arrive in and however their payment structures and commission models work.

1

Receive

Statements and remittances arrive by email, portal upload or API, in whatever format each party uses. Volume reads them, maps them to your data and creates the payments you expect to receive.

2

Match

When a payment lands, your bank or payment provider notifies Volume. Workflows match it to the expected payment using your own rules, and reconcile it straight away.

3

Resolve

Anything that doesn't reconcile, such as a short payment or a missing reference, lands in Triage. Volume identifies the potential matches and presents them for review, keeping a person in the loop on every discrepancy. Matching rules are set through configuration, not code, so you can refine them over time.

4

Settle

Once reconciled, Volume raises invoices, verifies payees, requests authorisation and pays out through your payment provider. Every party is notified, and every status update comes back onto the record.

A working version of every stage

Every reconciliation receives what's owed, matches what's paid, resolves the differences and settles with everyone involved. The Blueprint gives you a working version of each stage, linked by Workflows. You decide which tools, rules and integrations it uses.

Linked into one process

We provide the tools to take in, match, settle and report. You decide how they fit together, and Workflows link them into one process.

Add step

Add the steps you need

Need another step? Add a commission calculation, a clawback, an approval or a report to the workflow. The process is yours to shape, and you can change it later without a development project.

What you can do

We provide the tools. You build the process

Every tool below already works with the others on one platform. Pick the ones your reconciliation needs, and Workflows link them into one process, with every transaction traceable from statement to payment

Statements in icon

Take in statements in any format

Remittance advices, statements, transaction logs and invoices arrive by email, upload or API. Volume reads spreadsheets and PDFs alike, and a reusable import profile handles each counterparty's format.

Expected payments icon

Know what's coming in

Create the payments you expect from each statement, linked to the cases, policies or claims they belong to, so every pound has somewhere to land.

Payment matching icon

Match payments as they land

Your bank or payment provider tells Volume when money arrives. Each payment is matched to what was expected on the rules you set, such as amount, reference, payer and name.

Exceptions icon

Review only the exceptions

Payments that don't reconcile land in Triage, with the potential matches Volume has found. Your team reviews each discrepancy and confirms the right match, one at a time or in bulk.

Invoice and pay out icon

Invoice, verify and pay out

Raise invoices in your accounting platform, verify payees with third-party checks, request authorisation and send payments through your payment provider.

Keep parties informed icon

Keep every party informed

Send payment confirmations, remittance advice and invoices automatically, and give clients and partners their own portal to see where their money is.

Live ledgers icon

Live ledgers, filtered your way

Build ledgers in your dashboards and filter them by client, lender, product or period, so you always know what's expected, received, reconciled and paid. Share views with external stakeholders, who see only their own figures.

Volume Assistant icon

Change it without a project

Describe a change, such as a new counterparty or a new matching rule, and the assistant drafts it for your team to review and approve.

See it in action

Reconciling a PCP car finance settlement

Here's how a claims management firm reconciles lender settlements on Volume, from the lender's remittance advice to the claimant being paid. Every step is automated by Workflows, using the tools and integrations shown

1

Receive

Remittance advice arrives

The lender's remittance advice arrives by email, or is downloaded from the lender's portal, and lands in Volume against the right lender.

2

Receive

Remittance read and imported

The file is run through an import profile set up for that lender, which reads every line, whatever the layout.

3

Receive

Expected payments created

A workflow creates an expected payment for each line and links it to the claim it belongs to.

4

Match

Payment lands

The payment service provider tells Volume through the API that money has arrived, and a transaction is created.

5

Match

Payment reconciled

A workflow matches the lender's payment to the money expected and reconciles it automatically.

6

Resolve

Exceptions reviewed in Triage

Any payment that doesn't reconcile lands in Triage. Volume identifies the potential matches and presents them to your team, who review the discrepancy and confirm the right match before it's reconciled.

7

Settle

Invoice raised in your accounting platform

Once reconciled, Volume raises the invoice in your third-party accounting platform.

8

Settle

Claimant invoice generated

An invoice for the claimant is generated from your template, using the claim and payment details.

9

Settle

Claimant notified

The claimant is emailed their invoice, letting them know their payment has been received.

10

Settle

Payment authorisation requested

Volume sends a payment authorisation request to the payment service provider.

11

Settle

Law firm authorises the payment

The law firm reviews and authorises the payment to the claimant.

12

Settle

Claimant paid, status confirmed

The payment is made to the claimant, and the payment provider confirms the transaction status back to Volume through a webhook.

FAQ

Common questions

What formats can statements and remittances arrive in?

Spreadsheets, CSV files and PDFs, sent by email, uploaded to a portal or passed in through an API. Each counterparty gets an import profile for its format, so the next file runs the same way.

Can each lender, provider or client use a different format?

Yes. Set up a profile for each one. When a counterparty changes its layout, update its profile rather than your process.

How are payments matched?

On rules you set, such as amount, reference, payer, currency and name. Change the rules through configuration at any time.

What happens when a payment doesn't match?

It lands in Triage with the potential matches Volume has found, for your team to review and confirm. Nothing is reconciled until it matches or someone approves it.

Can it handle different payment structures and commission models?

Yes. Calculations such as commission, fees and splits are set up in Workflows, so each counterparty or product can follow its own model.

Which banks, payment providers and accounting platforms can we connect?

Xero, QuickBooks, Stripe, Revolut, ShieldPay and Confirmation of Payee are built in, and any other service with an API can be connected through Integrations.

Can our clients and partners see their own position?

Yes. Give each one a portal and dashboards showing only their own payments, statements and invoices.

Is every step auditable?

Yes. Every import, match, change, approval and payment is recorded against the transaction, so you can trace any payment from the statement it came from to the account it was paid into.

How long does it take to set up?

Because you start from a working Blueprint rather than a blank page, most reconciliation processes go live in weeks, not months. We'll agree a timeline with you after discovery.

How is financial data protected?

Data is hosted in the UK, held in your own encrypted database and protected down to individual fields. Volume holds Cyber Essentials and Cyber Essentials Plus certification and is committed to ISO 9001 & 27001.
