Document Generate & Send

Every letter, pack and statement, straight from your data

Straight from your templates

Letters, agreements, statements and packs are generated from your own templates, filled from the record, and sent to the right people automatically, one at a time or thousands at once. No copying and pasting, no missed fields, and every document filed where it belongs.

1

Design

Build templates in Word or Excel with merge fields for any data on the record or its related records. Update them yourself whenever wording or regulations change, with no development work.

2

Generate

Before anything is generated, a check can confirm the record holds every piece of data the template needs, so incomplete documents are never created. Documents are then generated as PDF, Word or Excel, from a single record, across a bulk selection, or automatically by a workflow.

3

Review

Optional. If you want a person to check documents before they're issued, they open each one, adjust it if needed and save it back to the record. If not, documents go straight to Issue.

4

Issue

Documents are sent by email, published to a portal or sent for signature, and every document is filed against its record with a full history of who received it and when.

A working version of every stage

Every document process starts with a template, generates from your data, gets checked where needed and is issued to the right people. The Blueprint gives you a working version of each stage, linked by Workflows. You decide which templates, rules and channels it uses.

Linked into one process

We provide the tools. You decide how they fit together, and Workflows link them into one process.

Add step

Add the steps you need

Need another step? Add an approval for certain documents, a second signature, or a reminder if a document isn't opened or signed. The process is yours to shape, and you can change it later without a development project.

What you can do

We provide the tools. You build the process

Every tool below already works with the others on one platform. Pick the ones your documents need, and Workflows link them into one process, with every document filed against the record it was made from

Your templates, your data

Use ordinary Word and Excel templates, with merge fields for anything on a record, its related records or a table of them, such as a payment schedule.

Generated at the right moment

Generate a document from a record with one click, or let a workflow create it automatically when something happens, such as a claim reaching a new stage.

Thousands at once

Generate documents across a whole selection of records in the background, with live progress and a report showing the outcome for every record.

The right document every time

Rules decide which template each case gets, and a check before generating confirms every required field has data, so no document is created with blank merge fields.

Checked before it goes

If you want a person to check documents before they're issued, add a review step. They can open a generated document, adjust the wording, add or remove a clause and save it straight back to the record, with the version that was sent kept on file.

Signed where needed

Send documents for signature by email, SMS or in the portal, with a certificate of completion filed on the record.

Delivered by any channel

Issue documents by email, publish them to a customer or partner portal, or make them available to download.

Filed and tracked

Every document is saved against its record. Dashboards show what's been generated, sent, opened and signed, and what's still waiting.

Sending letters of complaint to lenders

Here's how a claims management firm uses Volume to generate and send a letter of complaint for every eligible car finance agreement, across thousands of claims. Every step is automated by Workflows, using the tools and integrations shown

1

Design

Template prepared

The firm's letter of complaint template includes merge fields for the claimant, the lender and the agreement details.

2

Generate

Agreements selected

Once a claimant is onboarded and their agreements confirmed as eligible, a workflow selects every agreement that needs a letter.

3

Generate

Data checked first

Before any letter is generated, a workflow checks each agreement holds all the data the template needs. Agreements with anything missing aren't generated until it's complete, so no letter goes out with blank fields.

4

Generate

Letters generated in bulk

A letter is generated for each agreement, across every eligible claim, as a PDF filled from the claim record.

5

Issue

Sent to each lender

Each letter is emailed to the right lender, and the send is recorded against the claim.

6

Issue

Filed against the claim

The letter is saved as evidence on the claim, and the claimant can see it in their portal.

7

Issue

Responses tracked

A dashboard shows letters sent and responses awaited for each lender. When lenders reply, their correspondence is picked up by Triage.

FAQ

Common questions

What kinds of documents can it generate?

Letters, agreements, contracts, statements, invoices, welcome packs and reports. Anything that can be built from a template and your data.

What format are templates in?

Ordinary Word and Excel files with merge fields. Documents can be generated as PDF, Word or Excel.

What data can a template use?

Any field on the record, any field on its related records, and tables of related records, such as a list of payments or agreements.

Can we generate documents in bulk?

Yes. Generate across thousands of records at once in the background, with live progress and a report showing the outcome for each record.

Can different customers get different documents?

Yes. Rules decide which template each record uses, so documents can vary by product, lender, stage or anything else on the record.

Can we edit a document after it's generated?

Yes. Open it in the platform, change the wording or add and remove clauses, and save it back to the record. The version that was sent is kept on file.

What stops a document being created with missing data?

A check before generating confirms the record holds every piece of data the template needs. If anything is missing, the document isn't generated until it's complete.

Does a person need to check every document?

No, it's your choice. Add a review step for documents you want checked before they're issued, and let the rest go straight out.

Do documents need to be signed?

Only if you want them to be. Add an e-signature request to any document, with a certificate of completion filed on the record.

Who maintains the templates?

Your team can. Templates are updated in Word or Excel and uploaded, with no development work, so wording can change as quickly as your business does.

How is this different from Form completion?

Document generation creates documents from your own templates. Form completion fills in forms supplied by third parties, such as a lender's offer acceptance form, that you can't edit.

How long does it take to set up?

Because you start from a working Blueprint rather than a blank page, most document processes go live in weeks, not months. We'll agree a timeline with you after discovery.
