Visual workflows that behave like software
FlowState is a visual workflow engine with 45 block types: triggers, branching, loops, decision tables, integrations, communications, custom code and AI. What you draw is exactly what runs
What you can do
Automate any process on a canvas your whole team can read
Most flowchart tools run a diagram. FlowState turns your canvas into a real, running process, which is why loops, retries, error handling and reusable steps behave properly, while the people who own the process can still read every step
45 block types in 13 categories
Data, logic, communications, documents, integrations, code and AI, all dragged onto one canvas.
Field-aware record triggers
Watch specific fields, fire only when conditions match, and compare before-and-after values inside the flow.
Schedules and external triggers
Hourly, daily or weekly schedules in the workflow’s own timezone, or a secure address other systems can call, with every input checked before anything runs.
Decision tables
Shared, versioned, prioritised rule tables with clear rules for which row wins, so business rules live in one place and are reused across flows.
Loops with per-iteration error handling
Stop, continue or retry up to ten times. Failed iterations are logged with their retry counts while the loop carries on.
Custom code when you need it
A Write Code block lets a developer add their own logic, with access to everything the workflow knows, for the rare step no block covers.
Sub-workflows and reusable steps
Call other workflows, or define a reusable step once and use it anywhere, including safely inside loops.
Nine native integrations
Xero, Stripe, Microsoft 365, ShieldPay, Revolut, eSortcode Confirmation of Payee, QuickBooks, Volume Extract and secure file transfer, plus a general-purpose connector for everything else.
Ask an AI mid-flow
Send content to an AI from inside a flow and branch on what comes back.
Safe test runs
Record changes are simulated, calls to outside systems are held back and billable steps are refused. Test runs are flagged so nothing is ever committed.
A run viewer with replay
Every execution records each step’s outcome, the branch a decision took and loop counts. Re-run, or re-run from the failing step.
Versions, drafts and permissions
Numbered, labelled versions with author and changelog. Publishing is always a deliberate act. View, edit, execute and delete rights per workflow, with optional expiry.
Find, create and update records
Search your data, add new records and change existing ones inside a flow, such as finding every customer in London or moving a claim from pending to approved.
Calculate and transform data
Work out totals and percentages, or tidy text by combining names, extracting part of an address or changing its case.
Documents and messages from the flow
Generate contracts, invoices and reports from your templates, and send email or SMS to customers and staff, filled from the record's data.
How it works
Three steps, no tickets to engineering
1
Pick a trigger
Choose what starts the flow: a record change, a schedule, a message from another system, a button, a bulk selection or a link.
2
Draw the process
Drag blocks onto the canvas and connect them. Reference any field in your data model with merge tags and inline formulas.
3
Test, publish, watch
Rehearse with a safe test run, publish a numbered version, then follow every execution in the run viewer.
What makes it different
Safety is architectural, not a setting. Test runs cannot commit, versions are drafts until a person publishes them, and the AI copilot that helps you build is structurally unable to send, publish or read customer data.
